Position Summary The Project Coordinator will be responsible for the site construction coordination, documentation, user group scheduling, coordination of operational space requirements and moves, furniture, fixture and equipment requirements, and other work as required to ensure the Emergency Department – Renovation Improvement Project (ED – RIP) is completed on schedule and within the available resources. The Project Coordinator position will play both a lead and assistive role in conjunction with the Sr. Project Coordinator & Senior Director of Corporate Infrastructure and Redevelopment. The Project Coordinator will coordinate, schedule and plan project details and liaison with relevant Project Teams, Hospital Staff / User Groups, Architectural, Mechanical, Electrical Consultants and Contractors to ensure the project is completed on schedule and within the available resources. This role will also be responsible for working with Project Management on coordination of operational space requirements and moves as well as the furniture, fixture and equipment activities and maintain the required databases. The role will be called upon to support the overall work efforts of the Redevelopment department when required in order to meet submission deadlines, or unexpected projects arising as a result of ongoing facility operations. Primary Responsibilities Provides review and acts as the hospital’s liaison between the General Contractor, Prime Consultant and the Hospital to ensure compliance to the agreed upon project contract. Assists Sr. Project Coordinator and Senior Director in reviewing and endorsing project/renovation related changes. Coordinates and communicates the project related interim decanting, shutdowns, construction logistics and operational impacts of the construction/renovation project organization-wide with all affected departments. Ensures appropriate and timely communications related to the initiation, advancement and completion of project related details. Initiates and undertakes the commissioning of projects and renovations. Assist in the execution of staging and relocations resulting from renovations, ensuring minimal interruption of day-today operations and minimal impact to patients, families, staff, physicians and visitors Ensures project documentation is kept up-to-date and all associated documents are tracked and logged Development and documenting of User related project requirements in the form of functional programs and / or a scope of works. Developing User relationships to instruct Hospital Users in the development process of project planning, development and construction. Coordinate and arrange construction site visits for various Hospital users, programs and departments Undertakes the review and application of Ministry of Health planning and design standards and the impact on User requirements. Facilitation of User group meetings including Physicians, nursing staff, support staff and volunteers. Development of and compliance with Facilities standards in the development of capital projects and renovations. Support Sr. Project Coordinator and/or Project Manager in obtaining user input and feedback through User Groups and individual consultation to ensure user perspective is understood and represented in all aspects of project design/development and implementation Assist in the synthesis of user input and feedback to ensure gaps, impacts, or areas of overlap are identified and addressed through the appropriate forum to minimize impact on the outcome of the project Assist Sr. Project Coordinator and/or Project Manager in communicating project results to the Director, project sponsors, other project managers and key stakeholders, and make recommendations to project stakeholders (as appropriate) regarding the long-term implementation of project initiatives based on learning gained during the project lifecycle Oversee the independent and interrelated planning and documentation related project details in the development of construction and renovation projects. Review of Contract documentation and specifications such as analysis and evaluation of drawings, specifications and tenders and provides input to recommendations to ensure contracts are awarded to qualified, cost effective, and knowledgeable contractors/vendors Undertakes the coordination of project cost estimating, review and value engineering requirements. Review of and compliance of User related scope / program in the development of construction documentation by Consultants. Development, review and compliance to established project schedules, budgets and overall project scope. Develops remediation plans in accordance with established parameters to ensure compliance of project scope, costs and schedules. Preparation and Presentation of planning proposals to Stakeholders Assists Project Manager and/or Sr. Project Coordinator with the development of Requests for Information/Qualification and Requests for Proposal documents to secure consultants for a wide variety of redevelopment projects Support the scheduling and coordination of planning meetings with department representatives, consultants and required team members Assists the Sr. Project Coordinator, Project Manager & Senior Director in Undertaking the collection, development and submission of Ministry of Health related submission requirements in accordance with the Ministry’s Capital Planning Manual, Interacts with Community authorities in the development and construction of capital projects including; City Building officials, community agencies, community partners, school boards, government agencies and general community members participating in a project’s development. Mandatory Qualifications Bachelor’s Degree Architectural Technology (3 years) or related program PMP designation would be considered an asset 2 – 3 years’ experience working within a Hospital or Healthcare setting would be an asset Proficiency in Microsoft Office applications, Autocad and Adobe would be an asset Hands on experience within the construction/renovation industry required Exceptional customer relations and teamwork skills; Ability to build and maintain strong working relationships with all levels of management and staff Strong work ethic with the ability to handle pressure in a fast paced environment Exceptional interpersonal and written communication skills Demonstrated ability to establish priorities, handle multiple tasks and work independently and as a team member; Strong commitment to continual learning; Must have a proven ability to complete administrative tasks, deal with stakeholders and have consistently shown above average initiative Knowledge of Occupational Health legislation pertaining to the facilities and capital development environment. Effective change management skills and ability to communicate with various stakeholders Ability to read and interpret architectural, structural, mechanical and electrical drawings Mandatory Competencies Experience working on a construction site and working with contractors Basic understanding of building codes and standards, including but not limited to, Ontario Building Code, AODA and CSA Z8000 Safety (patient, worker & workplace) is a BCHS Corporate Priority.
