E-Sourcing Specialist

PURPOSE OF ROLE The E-Sourcing Specialist is responsible for establishment and administration of contracts and catalogues in all approved systems and tools. Update and/or automate necessary IT tools and reporting files to support RPSS activities. Manage and support e-sourcing tools/suppliers. Responsible for managing the contract life cycle support and creation process. ACCOUNTABILITIES The key accountabilities for this role include but are not restricted to: Administer the Establishment of Contracts / Catalogues Verify completeness of contract/catalogue upload request forms Work with Category Manager, Spot Buyer and Supplier on providing all required data for contracts and catalogues Create/Upload contracts and catalogues in system tools Upload contracts in contract repository Identify and communicate expired or near-expiring contracts Enable Contracts / Catalogues Obtain approval for uploaded contract and catalogue content Release contracts / unlock catalogues for use Align with suppliers for punch out enablement if required Contract and Catalogue compliance / General Activities Receive inputs on expiration dates or updates necessary in contracts Close out expired or no longer desired contracts and catalogues Manage e-sourcing suppliers accounts (Follow Up-Credit Holds-Good Receipts-System issues) BUSINESS ENVIRONMENT The creation of a new operating model will transform Procurement Function towards a much higher level of centralization at Regional level. This will require a high level of client satisfaction and efficiency at Local and Regional level. The E-Sourcing Specialist role is responsible to implement and sustain this transformation. It enables high efficiency by providing a high service level. E-Sourcing Specialist will manage contracts and catalogues for all procurement categories. SCOPE OF ROLE The E-Sourcing Specialist is responsible to ensure completeness of contracts and catalogues and to ensure its availability; This role manages catalogue and contract validity; develop and maintain strategies in SAP/excel to automate processes. The E-Sourcing Specialist is responsible to manage close out expired/not necessary contracts or catalogues. This role will support and manage e-sourcing suppliers account. KEY CONTACTS PSS Director PSS Leaders Category Managers Continuous Improvement Specialist Spot buyers eSourcing Specialists Contract Management Specialists Suppliers QUALIFICATIONS AND TECHNICAL COMPETENCIES REQUIRED Education University Degree or equivalent Power BI – Advanced Excel Certificates Critical skills needed for success in this position: Strong understanding of Contract Management tools Understanding of Procurement tools (SAP, SRM, MS Access, etc) Analytical skills Ability to conceptualize business impact focused analytics Communicating effectively in English by conveying information and ideas in a clear, meaningful, and timely manner, providing information to ensure understanding; solicit inputs and provide open candid conversations. Establishing collaborative working relationships Languages: English (and Local when applied) as the working language, other languages are an advantage. Preferred skills for this position: Hands-on procurement / category management experience Experience and understanding of sourcing and analytics tools such as Ariba, advanced MS Excel
