Job Description Job Description We are looking for a highly organized and detail-oriented Legal Administrative Assistant to join our team in Washington, District of Columbia. This is a Contract to permanent position, offering an excellent opportunity to transition into a long-term role. The ideal candidate will provide essential administrative support to attorneys, assist in managing daily operations, and ensure the smooth execution of legal tasks in a meticulous and efficient environment. Responsibilities: • Coordinate and manage complex travel arrangements, including booking flights, accommodations, and transportation for attorneys. • Maintain and organize attorney calendars, scheduling meetings, and ensuring there are no conflicts. • Process expense reports and reimbursements using Concur software with accuracy and timeliness. • Assist with preparing and organizing binders, documents, and materials for meetings and legal proceedings. • Collaborate with office service coordinators to arrange in-office meetings and greet clients with professionalism. • Perform light legal research and support attorneys across various practice areas, including IP, Litigation, and Anti-Trust. • Utilize document management systems like NetDocs to organize and retrieve files efficiently. • Set up virtual meetings using Microsoft Teams and coordinate with the IT team to resolve any technical issues. • Ensure all tasks and communications are handled with a high level of attention to detail and precision. • A minimum of 2 years of experience in a legal administrative role, with 3-5 years preferred. • Prior experience in a large law firm environment is required. • Familiarity with legal practice areas such as IP, Litigation, and Anti-Trust is highly desirable. • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel, as well as Concur and NetDocs. • Strong organizational skills and the ability to manage multiple priorities effectively. • Excellent verbal and written communication skills, with the ability to interact professionally with attorneys and clients. • High attention to detail and the ability to work independently with minimal supervision. • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
