Job Description
Job Title: Administrative Associate (Contract) Location: Onsite Plano, TX Position Summary: We are seeking a proactive and detail-oriented Administrative Associate to support the Global R&D Process function. This role blends general administrative responsibilities with specific financial, legal, and operational tasks, requiring strong coordination with international teams in India and Mexico. The ideal candidate brings high-level organizational skills, a sense of urgency, and confidence handling confidential and cross-functional information. Key Responsibilities: Provide dedicated, professional administrative support in a confidential and organized manner. Act as the liaison for financial operations with international support teams (India & Mexico): Manage invoices, contracts, journal entries, and cross-charges. Set up vendors in the accounting system and handle account transfers. Coordinate and resolve issues within financial systems related to the Process function. Assist in processing legal agreement requests via internal contract systems (e.g., "My Contracts"). Serve as the go-to person for international shipping processes and system navigation. Support budget and CAPEX tracking for the Global R&D Process team. Maintain and organize department budget files, ensuring accurate documentation. Assist with governance documentation and tracking for Phase Gate, Team Time, TPR, and GTOPPS. Organize knowledge repositories via Microsoft Teams and internal Knowledge Centers. Handle confidential materials with integrity and professionalism. Assist with special projects and contribute to team efficiency goals. Train and support team members on financial, legal, capital, and R&D systems. Required Qualifications: 2 years of experience in administrative support or similar roles. Bachelor s degree preferred. Experience using SAP or similar ERP systems. Working knowledge of accounting tasks such as journal entries. Exposure to procurement and/or payroll processes. Proficiency in Microsoft Excel (including pivot tables), PowerPoint, and Word. Quick learner with the ability to navigate multiple internal systems and platforms. Strong multitasking, prioritization, and follow-up skills. Excellent verbal and written communication abilities. High level of discretion in handling sensitive data. Strong problem-solving mindset and attention to detail. Cultural sensitivity and integrity in working with diverse global teams.
