Logistic & Shipping Coordinator

Key Responsibilities: Manage end-to-end order processing, including order input, confirmation, and follow-ups with both suppliers and customers. Coordinate with internal and external stakeholders—vendors, suppliers, and customers—to ensure smooth order fulfillment and timely shipments. Issue commercial documents such as Proforma Invoices, Sales Confirmations, and Final Invoices. Plan shipping schedules and arrange shipments, including vessel bookings. Prepare, review and verify shipping documentation (e.g. shipping invoices, shipping instructions, and Bills of Lading) to ensure accuracy and compliance with contractual terms, including Letters of Credit. Arrange courier dispatches for Original Bills of Lading (OBL) and other critical documents. Monitor outstanding accounts receivable (AR), follow up on overdue payments, and support account closing activities. Track and report freight costs, analyze logistics performance, and identify opportunities for cost optimization. Support internal audits, compliance reviews, and proper documentation filing. Assist in identifying and implementing process improvements in order fulfillment and shipping operations. Perform any other related duties as assigned from time to time. Requirements: Min Diploma in Supply chain, Logistics, Business admin, Business management. 3 to 5 years experience in shipping/logistics or experience in import & export/trading company Strong coordination and problem-solving skills; able to multitask and manage time effectively. Comfortable working with in-house systems and learning new tools quickly; experience with MS Office, MS Dynamics, Power Query, and PowerApps is a plus. Open-minded, adaptable to change, and proactive in seeking process improvements. High attention to detail, with the ability to thrive under pressure and manage workload independently.
