Job Description

Duration: 1-Year Contract Location: Near One North MRT Station Job Responsibilities HR Administrative Support: Manage physical employee files for easy retrieval and ensure document organization. Maintain incoming electronic personal documents in Portable Storage Media. Regularly update tracking lists and databases for human resource activities. Coordinate manpower deployments for career fairs and press events. Assist in facilitating the Student Attachment Programme and Learning Journeys. Internship Support: Follow up with selected internship applicants to ensure timely submission of required documents and confirm preferred internship periods. Prepare and send Internship Agreements, confirming internship details. Submit onboarding requests via Microsoft Lists, including amendments as needed. Coordinate visitor clearance for incoming interns on their first day. Raise Service Requests for creating intern records in HR and Payroll System, including adjustments for internship periods. Manage intern offboarding by submitting offboarding lists to the Passes team and sending instructions to interns and their supervisors. Track the issuance of interns’ testimonials and ensure supervisors complete performance assessments. Talent Acquisition (TA) Support: Assist with recruitment efforts, including campus recruitment initiatives. Schedule interviews and coordinate with candidates and hiring teams. Facilitate the onboarding process for new hires, ensuring pre-employment checks are completed and administrative tasks are managed. Raise Service Requests for new hire records in the HR and Payroll System. Coordinate visitor clearance for new hires on their first day. Outreach and Event Support: Pack and distribute recruitment collaterals for deployment by Talent Acquisition and Human Resource Business Partners Provide assistance during outreach activities, such as managing the event booth. Monitor and maintain sufficient stock of human resource outreach materials. Program Coordination & Support: Submit visitor clearance for participants in attachment programs and learning journeys. Provide assistance in facilitating and managing program activities. General Administrative Support: Maintain and update tracking lists and databases. Provide additional administrative support to Talent Acquisition and Human Resource Business Partners as needed. Requirements Diploma holder in Human Resource or a related field; candidates with relevant Human Resource experience or Human Resource certifications are also encouraged to apply. Minimum 2 years of relevant Human Resource experience, preferably within government agencies. Strong attention to detail, quick to learn, and able to handle multiple tasks efficiently. Excellent communication skills with the ability to manage time effectively. Proficiency in Microsoft Word, Excel, and PowerPoint. Experience with Robotic Process Automation (RPA) and data analytics software like Microsoft Power BI or Tableau is an advantage.
