Job Description

To provide essential administrative and organizational support to the Relationship Management Assistants, helping streamline internal processes and ensuring high-quality client service delivery within the Family Office or Wealth Management team. Relationship Manager Assistant 50% For our client, a Family Office and also a Wealth Manager, we are currently looking for a Relationship Manager Assistant. Description Documentation & Compliance: Assist in gathering and checking KYC/AML documents. Help prepare files for periodic reviews (client due diligence, annual reviews). Support tracking of regulatory deadlines and ensure follow-up on FATCA/CRS or other compliance obligations. Organization & Coordination: Provide day-to-day administrative assistance to the Family Office team, ensuring smooth coordination and execution of internal processes. Act as a point of contact with external banking institutions for administrative follow-up, document transmission, and account-related coordination. Assist with invoicing and expense tracking, including preparation of payment instructions, reconciliation of invoices, and communication with service providers. Support Relationship Managers and their assistants in routine client operations, such as preparing documentation, following up on transactions, and maintaining client files. Prepare, print, scan, and file client-related documents (KYC, contracts, mandates, correspondence, etc.). Ensure proper physical and electronic archiving in accordance with internal policies and regulatory requirements. Follow up on document signatures and coordinate circulation among internal and external stakeholders (compliance, management, banks). Maintain and update internal trackers, databases, and administrative tools as required. Profile Education & Experience: Commercial diploma (CFC or equivalent). Initial experience in an administrative support role within a financial, wealth management, or family office environment. Familiarity with banking or regulatory documentation is a plus. Skills & Competencies: Excellent organizational skills and strong attention to detail. Absolute discretion and respect for confidentiality. Comfortable using standard office tools (Outlook, Excel, Word, Adobe Acrobat). Ability to manage multiple tasks simultaneously with accuracy. Languages: Fluent in French Proficient in English (spoken and written). Job Offer 50% part-time contract with on-site presence required either in the mornings or the afternoons , depending on team needs and availability.
