Job Description

Purpose of the job: The Sales Administrator will be responsible for providing essential support to the sales team, ensuring smooth operations and effective communication. The role involves managing sales data, processing orders, coordinating with clients, and assisting with administrative tasks. The Sales Administrator will maintain customer satisfaction and support the sales teams objectives. Key Responsibilities include but not limited to the following: Administration, Revenue Monitoring and Analysis: Process sales orders and ensure accurate entry into the CRM system. Maintain and update sales records, reports, and customer databases. Coordinate with the sales team to manage schedules, appointments, and meetings. Handle customer inquiries and provide timely responses. Assist in the preparation of sales presentations, proposals, and contracts. Monitor inventory levels and coordinate with the supply chain team. Generate sales reports and provide insights into the sales team. Support marketing initiatives and campaigns as needed. Ensure compliance with company policies and procedures. Track and analyse revenue streams to identify discrepancies or losses. Monitor billing systems and processes to ensure accuracy and completeness. Perform regular audits of financial and operational data. Process Improvement, Data Reconciliation and Risk Management Identify gaps or inefficiencies in revenue-related processes. Recommend and implement improvements to reduce revenue leakage. Collaborate with IT and operations to enhance system controls Reconcile data between various systems (e.g., CRM, billing, finance). Ensure alignment between customer usage, billing, and payments. Assess risks related to revenue loss and fraud. Develop controls and mitigation strategies to protect revenue. Reporting, Compliance, Governance and Collaboration: Generate reports on revenue performance, leakage, and recovery. Provide insights to senior management for strategic decision-making. Ensure adherence to regulatory and internal revenue policies. Support audits and compliance reviews. Work with finance, sales, IT, and operations to ensure end-to-end revenue integrity. Support product launches and pricing changes with revenue impact assessments. Minimum Qualifications, Experience, and Knowledge: Grade 12 (Matric) A National Diploma/Degree in Business Administration, Sales and/or related field. Minimum of 2 years in a sales support or administrative role. Minimum of 1- 2 years experience in a lead generation, sales, or marketing role. Experience in the technology industry or a fast-paced sales environment. Familiarity with sales processes and customer relationship management. Knowledge of data analysis and reporting tools. Familiarity with lead generation tools and techniques Knowledge of digital marketing and social media platforms Strong communication and interpersonal skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite and CRM software. Attention to detail and accuracy. Ability to work independently and as part of a team. Strong organisational and time management abilities. Ability to multitask and prioritize tasks Good problem-solving capabilities and can adapt easily and flexible.
