Job Description Job Description Are you a highly organized and dedicated person with a passion for mental health? We are looking for a full-time Office Administrator to join our team at Mclean Counseling Center. If you have excellent communication skills, a keen eye for detail, and a commitment to maintaining confidentiality, we would love to hear from you! Key Responsibilities: Insurance Coordination: Communicate and correspond with insurance carriers regarding patient claims, approvals, and denials. Prior Authorizations: Initiate and track required prior authorizations for medications or procedures to ensure patients have access to their benefits. Client Intake: Conduct the intake process for new clients, collecting and documenting pertinent information regarding their mental health history to improve the matching with providers. Electronic Health Records (EHR) Management: Utilize our EHR system to monitor and manage patient records, schedules, and billing while maintaining confidentiality and adhering to HIPAA standards. Meeting Coordination: Arrange and facilitate both in-person and virtual staff meetings, send reminders, and provide detailed summaries of meeting discussions. General Administrative Tasks: Assist with answering inquiries via phone and email, preparing documents, handling correspondence, managing office supplies, organizing files, and greeting clients, visitors, and staff. Content Creation: Collaborate with our website team to develop monthly newsletters and create engaging multi-platform social media content and visuals that enhance brand awareness about mental health concerns, offer supplementary information to patients, and foster connections with fellow professionals in the mental health field. Qualifications: Bachelor's degree in Psychology, Social Work, Counseling, or any other relevant field preferred Proven experience in an administrative role, preferably in a healthcare or mental health setting. Strong understanding of HIPAA regulations and the importance of maintaining patient confidentiality. Excellent communication skills, both written and verbal. Knowledge of medical billing terminology and insurance processes. Strong organizational skills and attention to detail. Ability to multitask and manage time effectively. Proficiency in Microsoft Office Suite and other relevant software.
