The Role We’re looking for a capable and committed Wedding Operations Manager to take ownership of day-to-day operations, ensuring our services run smoothly and efficiently. This role requires a calm, solutions-oriented professional who can lead with confidence, support our admin team, and maintain high standards for both client experience and operational delivery. You’ll work closely with the director but will be trusted to manage day-to-day challenges and implement improvements that move the business forward. As we grow, so will this role, with the opportunity to take on greater responsibility across multiple service areas. This role is office based, and is ideal for someone with experience who’s ready to take more ownership and play a key part in shaping operational success at a growing company. Key Responsibilities Operational Oversight: Coordinate and streamline daily business operations across photography and videography services. Problem Solving: Address operational issues and client concerns with a proactive and professional approach. Client Issue Management: Take ownership of resolving client complaints when needed, using sound judgment and empathy to protect the company’s reputation and ensure a high level of service. Where appropriate, provide guidance to the admin team on how to handle issues, but be prepared to step in and deal directly with clients when the situation requires a more senior or delicate approach. Team Support & Delegation: Work closely with the admin team to manage workloads, support decision-making, and uphold quality. Freelancer Coordination: Oversee scheduling and performance standards of our photographers, videographers, and second shooters. Internal Collaboration & Oversight: Work closely with the logistics team to ensure ongoing recruitment and coverage in high-demand areas. Collaborate with the digital marketing team to stay informed on content, campaigns, and deadlines, offering input where helpful and ensuring marketing efforts are aligned with operational needs. Oversee external contributors (e.g., blog writers, paid ad partners) to ensure deliverables are on track, reviewed, and up to standard. Quality Assurance: Apply your understanding of media and content quality to ensure our freelancers meet brand standards. Process Improvement: Continuously assess systems and workflows to identify areas for improvement or efficiency. Leadership & Reporting: Communicate regularly with the directors, offering insights, updates, and recommendations to improve operations. Freelancer Payments: Ensure prompt and accurate payment to freelancers on a weekly basis. Monitor incoming invoices after delivery of images or footage, and process payments within agreed timeframes, maintaining trust and smooth relationships with our creative team. Out-of-Hours Support: Be willing to work outside normal office hours when urgent issues arise, such as sourcing last-minute replacements, managing escalations, or liaising with the weekend team to ensure fast, professional solutions with minimal disruption to clients. We’re looking for someone who can bring the following: Proven experience in operations, event coordination, client services, or a team leadership role, ideally with experience overseeing service delivery in fast-paced or client-facing environments. Strong team leadership and delegation skills , with a track record of managing and growing high-performing teams. Excellent communication, negotiation, and relationship-building skills, able to work confidently with internal teams, suppliers, and freelancers alike. A collaborative mindset , with a genuine passion for delivering exceptional client experiences and supporting colleagues to do their best work. Experience managing and monitoring third-party suppliers or freelancers , including performance evaluation and payment processing. Confidence handling client issues or escalations , using sound judgment and empathy to reach the best outcome. Analytical and problem-solving ability , supporting calm, effective decision-making under pressure. Experience leading or contributing to change management initiatives , with a proactive mindset for improving systems and processes. Organised, adaptable, and able to multitask across different functions and priorities. Digitally fluent , with working knowledge of tools like Outlook, Slack, CRMs, and scheduling or calendar platforms. Commercially aware , with an understanding of how operations support profitability, reputation, and client satisfaction.
