Job Description

Position: Personal Assistant to the Executive ChairmanLocation: North York, Toronto Salary: $80,000 - $100,000 Job Type: Full-Time, in-person role, some travel requiredPosition Overview:We are seeking a highly organized, detail-oriented, and proactive Personal Assistant to support the Executive Chairman in personal capacities. This role demands discretion, resourcefulness, and strong logistical coordination across various domains and locations. The successful candidate will collaborate closely with household staff, service providers, and family members to ensure smooth daily operations.Key Responsibilities:- Manage all domestic and international travel arrangements- Coordinate private travel logistics (helicopter, private charters, car services)- Prepare and maintain detailed itineraries, confirmations, and transportation arrangements- Serve as primary liaison for household staff and service providers including concierge, housekeeping, landscaping, and maintenance teams for multiple properties - Oversee allocation and use of season tickets Toronto sports teams for client and personal usage- Coordinate guest experience, seating logistics, and communication with attendees- Arrange all wellness and personal activities for the Chairman and family during vacation periods- Plan and execute family events at key residences by coordinate catering, guest lists, staffing, and décor- Draft and send personal correspondence, including birthday greetings and thank-you notes- Manage email communications for personal matters- Track and process personal expensesQualifications:- Previous experience supporting a senior executive or high-net-worth individual in a personal capacity- Exceptional organizational and multitasking abilities- Discreet, trustworthy, and experienced in handling confidential matters- Familiarity with luxury travel, private event planning, and property management- Proficient in Microsoft Office Suite, Outlook, and scheduling tools- Flexibility to work when needed on occasion outside of working hours - High emotional intelligence and sound judgment- Comfortable interacting with a wide range of individuals, from property staff to VIP guests- A calm, service-oriented demeanor with a no-task-too-small attitudeIf you are interested, please submit a Word version of your resume to Angelica Stewart at angelica.stewart@quantum.ca.OUR VIRTUAL DOORS ARE OPEN!
