Job Description

Role: Legal Administrative Assistant Location: North York (4 Days In-Office) Length: 2 Month Contract (Potential for Extension) Rate: $25-27/hour Job Summary: Hays has partnered with a leading global retail company based in North York, ON. We are seeking a highly organized and detail-oriented Legal Administrative Assistant to support our legal team with day-to-day administrative and claims-related tasks. This candidate will be required to work in-office 4 days per week. Key Responsibilities: Receive and review incoming legal claims and expense reports. Analyze 3–6 claims daily, extract key information, and forward to appropriate teams (e.g., Atlanta group, litigation, or general liability). Identify and contact relevant individuals to gather supporting documentation for claims. Follow up on outstanding documentation and ensure timely submission. Translate documents as needed and maintain accurate filing of printed claim records. Manage expense reporting through Concur. Provide calendar management support for lawyers, as needed. Assist with financial tracking and basic invoicing tasks. Support ad hoc administrative tasks and contribute to team operations as required. Qualifications: 3–5 years of administrative experience, preferably in a legal or professional services environment. Proven ability to handle confidential information with discretion. Strong attention to detail and ability to learn quickly. Proactive, adaptable, and willing to take initiative in a team setting. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Microsoft Teams. Experience with TeamConnect or similar legal case management software is an asset. Excellent organizational and time management skills.
