Due to growth, we are currently seeking a Building Maintenance Representative to join our team. Position Overview: We are looking for a dependable and skilled Building Maintenance Representative to join our team. Reporting directly to the Building Operations Manager, this role is ideal for someone who is comfortable taking on hands-on repairs but also capable of coordinating with contractors for larger projects. You will be responsible for keeping the property in good condition, carrying out regular inspections, handling fire and life safety checks, and completing pre-move-in and pre-move-out inspections. Key Responsibilities: Portfolio Management Serve as the primary caretaker for your assigned buildings. Oversee day-to-day operations, tenant service requests, vendor coordination, and compliance requirements. Provide weekly updates with early warnings about risks or cost pressures. Work Orders & Repairs Receive and complete maintenance work orders. Troubleshoot issues, perform minor repairs within your scope, document the work with photos and notes, and escalate to trades as needed. Preventative Maintenance Execute seasonal maintenance programs for roofs, drains, door hardware, lighting, sump pumps, and common areas. Record each task, flag potential failures, and coordinate contractor work when required. Inspections Conduct move-in/move-out and routine building inspections with checklists and photo documentation. Verify base conditions, life safety items, and repair lists before closing out tenant files. Lifecycle & Capital Planning Review the lifecycle of key systems (rooftop units, boilers, electrical, roofing, cladding, etc.), estimate useful life, and recommend repair or replacement plans with supporting quotes. Budgeting & Reporting Develop annual maintenance budgets covering routine services, small capital items, and anticipated repairs. Track costs and provide regular summaries of activity, risks, and vendor performance. Vendor Coordination Manage third-party contractors for landscaping, snow, mechanical systems, roofing, and life safety. Verify service completion, collect documentation, and ensure adherence to scope and safety standards. Emergency Response Respond to urgent issues such as leaks, power failures, alarms, or weather events. Make safe, communicate promptly, document actions, and coordinate the appropriate contractors. Housekeeping & Presentation Maintain curb appeal, tidy common areas and mechanical rooms, and ensure stock of essential supplies and tools. Documentation Update maintenance systems daily with photos, notes, and invoices. Use Yardi or equivalent systems for tracking and reporting. Required Knowledge and Experience: Minimum 5 years in building maintenance or facilities roles for commercial, industrial, or mixed-use properties. Hands-on ability in basic plumbing, carpentry, drywall, painting, and minor electrical work (within permitted scope). Knowledge of mechanical systems, roof maintenance, and general building operations. Comfortable reading basic plans, equipment nameplates, and service tags. Clear, polite, and direct communication style with tenants, vendors, and property teams. Strong organizational and follow-up skills. Working knowledge of WHMIS, lockout/tagout, fall protection, ladder safety, and mechanical/electrical room standards. Proficient with maintenance systems, email, and mobile photo documentation. Experience with Yardi Voyager or other facilities management software is an asset. Familiarity with Facilities Manager or similar mobile maintenance apps is an advantage. Valid driver’s license and reliable vehicle required. Any trade certifications, Building Operator courses, refrigeration or gas tickets (where applicable) are an asset.
