Job Description
Key responsibilities: Prepare drivers paperwork including stop sheets and load releases Manage and oversee all drivers and assistants Handle daily fleet management and scheduling tasks Brief drivers before dispatch and ensure proper documentation is submitted after trips Scan and upload driver paperwork to the debriefing system Analyse trip sheets and tracker data for performance and compliance Maintain driver discipline and ensure adherence to operational standards Monitor and improve truck turnaround times Capture and track drivers log sheets including overtime and night-out allowances Keep records of in-house training and coordinate training sessions Issue warnings and prepare documentation for disciplinary hearings Support urgent deliveries by assisting with truck loading and routing Manage preloads and customer satisfaction follow-ups Process driver leave and ensure sufficient driver availability per shift Assist with planning and scheduling of routes and drivers Monitor driver working hours and ensure legal compliance Liaise with gantries regarding safeload renewals and driver inductions Investigate vehicle incidents and accidents and ensure proper reporting Communicate with customers regarding late deliveries or service issues Generate and review daily speeding and tracking reports Respond to driver and customer calls promptly, including after-hours support Assist with HSSE tasks under guidance from the safety manager Conduct spot checks and report near misses Issue and track PPE usage and ensure regular updates to driver files Assist with loading trucks, including safeloads, Hazchem, DGP, and medical checks Maintain accurate driver documentation including medicals, permits, and certifications Capture all incidents and accidents in the Quality Management (QM) system Facilitate weekly toolbox talks and maintain signed records Update and assist with harbour and fire permit renewals annually Coordinate with mechanics for truck servicing, repairs, and defect resolution Participate in alternating standby shifts and weekend work as per roster Retrieve and manage telematics or dashcam footage as required Communicate with Tracker and Truck Assist for vehicle support Perform vehicle spot checks and capture NMPI data Monitor and report on tracker activity, including shift handovers Manage handovers between shifts to ensure operational continuity Book and maintain training records via the training matrix Key competencies: Strong organisational and administrative skills Excellent time management and multitasking ability Effective communication with both internal teams and customers Ability to remain calm and focused in a fast-paced environment Proactive and solutions-focused with high attention to detail Comfortable working independently and as part of a team Willingness to work flexible hours, including weekends and standby duty Sound knowledge of logistics processes and fleet operations
