Job Description

Key Responsibilities: Programme Management: Assist with the end-to-end management of training programmes (planning, scheduling, execution, and reporting) Coordinate learner onboarding, induction, attendance, and progress tracking Support Programme Managers in aligning programmes with QCTO, SETA, and client requirements Track deliverables such as POEs, assessments, submissions, and certifications Escalate learner or facilitator issues promptly Class and Learner Management: Manage daily class operations, including attendance, timetabling, and resource allocation. Ensure effective communication between facilitators and learners to address academic and operational issues Maintain learner discipline and engagement, ensuring a positive and professional classroom environment Coordinate learning materials, venues, and logistical arrangements Implement learner support initiatives to improve retention and performance Operations Management: Maintain programme documentation, contracts, registers, and live trackers Support payroll, invoicing, and financial reconciliations for funded programmes Work with the Quality Assurance team to ensure compliance with QCTO/SETA audits Assist in digitising and automating operational workflows (attendance, reporting, invoicing) Stakeholder Engagement: Liaise with learners, facilitators, and clients to ensure smooth programme delivery Act as a support contact for facilitators, ensuring they have the required resources Support marketing and reporting requirements for clients, SETA, and QCTO Monitoring & Reporting: Maintain dashboards and reports on learner performance and programme outcomes Track project risks and escalate issues to the Programmes Manager Compile monthly and quarterly reports for management and SETA/QCTO submissions Skills & Competencies: Strong organisational and project management skills Understanding of QCTO, SETA, and accreditation processes. Proficiency in MS Office (Excel, Word, PowerPoint); exposure to LMS/e-learning platforms an advantage Excellent communication and stakeholder management skills. Problem-solving mindset with attention to detail Ability to work under pressure and meet deadlines Qualifications & Experience: National Diploma/Degree in Education, Business Administration, Project Management, or related field 13 years experience in training operations, programme coordination, or project administration Experience in a training provider/SETA/QCTO-accredited environment will be an advantage Exposure to digital learning, blended learning, or e-learning delivery preferred
